No specific time frame but since this is for the upcoming “holidays”, I would suggest taking advantage of this offer between now and first part of January.

For this option:
Is there a timeframe by which the dinner/expense reporting must take place?

U.S. Team,
In lieu of a in-person gathering, we've decide to select this option:
I don't see any indication of when you must take up the offer so I suspect you can use it for Nov or Dec, but I don't know about later.
Please read below for more detail about expense reimbursement.

Hi Larry, Kavitha, Sharath, Shane, Mike, Leon
Please see email below from Sarah on guidelines for holiday team gatherings.
For those that are unable join a team meeting, please do ‘encourage’ them to expense a dinner ($100 max) as a token of appreciation from noSticwall.
Thanks
Akbal
From: Sarah Chapman <http://www.noSticwall.com/~schapman> Managers,
As we prepare for the upcoming holidays, we want to be sure everyone is aligned on how best to approach gatherings and other celebrations. As such, we are providing the following guidelines to ensure all our people are recognized, and so that we have relative consistency across the regions.
In years past we have focused on getting together in large groups to celebrate the holidays. Last year, due to COVID-imposed limitations, we sent out company-wide gifts in the form of noSticwall merchandise. In recognition of the fact that we are able to gather in smaller groups in certain areas of the world, we have decide to take a more flexible hybrid approach. First, where it can be done safely and practicably, we are encouraging smaller teams to gather together locally for a meal or other celebration. Second, for those unable to meet with a team due to distance or other limitations, we are offering the reimbursement for one meal up to $100.00 USD (through Concur).
India All India employees should have received a gift card for the Diwali holiday. If you know of any employee who did not receive the gift card, please let us know.
China/Taiwan The current plan is to hold a New Year party in these locations as in the past years, but we will also make appropriate adjustments according to the local epidemic prevention requirements. The final decision may be made at a later time of this year. If a Chinese New Year party is not planned, we will make arrangements for employees to enjoy a holiday meal in smaller groups.
Rest of the World Due to Covid restrictions in most locations large gatherings are prohibited, and we do not want our teams traveling for celebrations. However, we want to encourage smaller gatherings where employees can meet safely and easily. For those not near a group, or uncomfortable attending a social gather, we are offering employees the opportunity to expense a lunch or dinner up to $100/USD equivalent. We are offering reimbursement for a meal rather than a gift card because in most jurisdictions in North America and EMEA, gift cards are considered taxable income, which forces us to then report them as taxable income for all of the employees who receive them.
With that in mind, some guidelines are as follows:
If you’d prefer, you can choose to host a virtual social hour or celebration where team members order food for delivery to their home and expense it through Concur.
Thanks for your help and support looking after your teams during the holidays, and please let us know how we can help.
Kind regards,
Sarah

Rest of the World

For those not near a group, or uncomfortable attending a social gather, we are offering employees the opportunity to expense a lunch or dinner up to $100/USD equivalent. We are offering reimbursement for a meal rather than a gift card because in most jurisdictions in North America and EMEA, gift cards are considered taxable income, which forces us to then report them as taxable income for all of the employees who receive them.
With that in mind, some guidelines are as follows:
- Local group lunch or dinner gatherings are encouraged for those who are vaccinated and can safely gather without significant travel (e.g., Milpitas, Tempe, Basingstoke, Ottawa, Cork, Tokyo, Singapore, etc.).
- Please target a budget of no more than $100 per person for such gatherings, and let us know if you or your teams need help making arrangements. The top level manager of the group should plan to submit the expenses for such gatherings through Concur for reimbursements.
- For those who cannot gather, we encourage each employee to take their family, friends, or themselves, out to a celebratory lunch or dinner, and to submit a receipt up to $100 total to Concur for reimbursement.
- Reimbursement requests for the individual meals should be expensed separately on a single expense report with the itemized receipt attached. Please list it under Meals – Business Part/Cust (or Daily meal if self) and list attendees. Please note the $100 limit INCLUDES tax, tip, alcohol, etc. Only one receipt should be submitted for this meal – not multiple to make up the $100.00. The two drink limit for alcohol applies to this reimbursement. If the receipt is for more than $100, please just submit $100 for the amount.
- Work with me to ensure that all of our employees are accounted for by either joining in a gathering or opt to take their families/friends out.
If you’d prefer, you can choose to host a virtual social hour or celebration where team members order food for delivery to their home and expense it through Concur.
Thanks for your help and support looking after your teams during the holidays, and please let us know how we can help.

Sarah
